Managing multiple sites with TaqtOne: The best practices
π’ Tips for successfully managing multiple sites using TaqtOne devices
Whether you're responsible for multiple locations, working across several client accounts or supervising various buildings, the Taqt portal allows to manage operations centrally while maintaining a clear, segmented, and efficient view of the activity.
Here are some best practices to help you structure and lead multiple sites with confidence.
𧱠1. Structure your site map by Site
Each site or building should be clearly identified on the dashboard, with locations that are properly named, organized and nested.
Best practices:
-
Build a clear and structured tree (e.g., Client X / Paris Site / Floor 1 / Womenβs Restroom)
-
Use projects to group several sites under one main location (by client, region, etc.)
π See: How to Organize Your TaqtOne Network
π€ 2. Manage user access by Scope
Give each team member or service provider access only to their specific scope (sites or projects) to ensure both data privacy and clarity.
Tips:
-
Assign Editor status to site managers so they can supervise their areas independently.
-
Create Viewer accounts for external clients or partners with limited access to their own data.
-
Disable unused accounts to avoid confusion.
π See: Managing user access
π
3. Schedule operations by Site
Use the Tasks menu to:
-
Set schedules based on the needs of each location
-
Adjust the frequency of services (cleaning, maintenance, etc.)
-
Track task completion in real time and receive custom alerts
π 4. Set up custom views by Site
In the Data, Tasks or Reports menus:
-
Apply filters by site, location, or project to isolate relevant information
-
Save your filters as favorites for quick access (available in Tasks and Reports)
-
Create dedicated reports per client or building
π See: Using Custom Views
π 5. Set up reports and alerts by Site
-
Schedule automated reports for each site with specific recipients
-
Set up alerts (e.g., missed interventions, spike in requests) by locations and interactions
-
Centralize email delivery to your clients, site leads or others relevant
π See: How to share a report
π See: How to set up alerts
To avoid confusion:
-
Give each NFC tag a clear and descriptive labels (e.g., Lyon Site Agent β Morning Shift)
-
Rename your TaqtOne devices with readable and meaningful names (e.g., Reception Terminal β Marseille Site)
This helps with:
π Summary: Key best practices
