Advanced Service Request Management With QR Code (Zoho Forms)

The Ubiqod platform provides ready-to-use features for creating an on-demand service system using QR codes or NFC tags, whether for dozens or thousands of locations.

In certain cases, more complex forms are required, such as for managing catering, maintenance, or cleaning requests. By leveraging redirection-type interfaces, it's easy to combine Ubiqod's scalability for managing facilities with no-code tools for building advanced forms.

Here, we will demonstrate this capability using Zoho Forms. The same approach can be applied with other form creation tools like Google Forms, Typeform, or JotForm.

Create you form in Zoho Form

Create a form in Zoho as usual.

From catering menus to cleaning and maintenance requests or room cleaning check list, you can create both simple and complex forms by combining advanced fields, themes, and rules.

You can even offer paid services using the integrated payment gateway.

Add Dynamic Parameters

In our example, we aim to offer the same services across hundreds of different locations. To identify where each request originates, we need to link each QR code, NFC tag or SafeQod (formerly Ubiqod Key) to a specific location. To achieve this, we will create a field (you can hide it or make it view only in the form) that includes the Room Number (we could add the site location or other useful data in case of need). This parameter will be automatically populated by Ubiqod. This setup will allow us to adapt the workflow based on this parameter.

After creating the field, go to the Settings of the form and add it in the Field Alias – Prefill URL section:


Create a Redirection Interface in Ubiqod

Publish your form in Zoho and retreive its URL:


In the interface configuration of Ubiqod, enter the Zoho Form URL in the Base URL. In advanced parameters, map the room_number parameter with the Tracker Label.



Create the trackers (QR code or NFC Tag)

Now, all you need to do is create trackers linked to this interface, using the Tracker Label to represent the room location.

You can use it with a QR code, or copy the URL of the tracker and write it in a NFC Tag.

If you are using a NFC tag, remember to lock the tag after encoding the URL to avoid malicious re-encoding.

How to secure your Zoho Form with SafeQod (formerly Ubiqod Key)?

SafeQod (formerly Ubiqod Key) helps you prevent common QR code cheating by verifying that users scanned the genuine physical QR code to submit the form, rather than using a photo of the code or accessing the form through its direct URL.

In order to secure your Zoho Form with SafeQod, you need to implement 2 additional steps:
  1. Add Tracker Serial Number and Validation token in your URL parameters and create corresponding fields in Zoho Form
  2. Use Zoho Flow to check the validity of the token afterwards
